Federal Work-Study Employees/ Student 

 

 

 
 
How You Are Awarded Federal Work-Study (FWS)
  • File a "Free Application for Federal Student Aid" (FAFSA) by the March 2 deadline and indicate on the application that you are interested in work-study
  • You must have calculated financial need
  • Funding is limited, so priority is given to students who utilized FWS in the prior year at Cal Poly Pomona
  • After current FWS students are awarded, freshmen are given second priority

Benefits of FWS
  • FWS students are in demand because the employer only pays a percentage of the student's earnings and the federal government subsidizes the remaining cost
  • Your work schedule can be adjusted each quarter around your classes
  • Federal Work-Study does not count as earnings when you reapply for financial aid the following year
  • Shows future employers you have valuable work experience

Classifications and Pay Rates
  • Your job classification and pay rate are based on the type of job you obtain
  • Pay rates are listed on each job description in Bronco Connect
  • Employers can request pay raises for FWS students based on increased job responsibility and/or length of employment

Getting a Job

Continuing FWS Students/ Employee

1.   Go to BroncoDirect and review your Financial Aid award to make sure you have an FWS award

2.   Print a copy of your Employment Agreement (formerly "pink hirecard") after you have registered and paid fees.  (Check the date; the Agreement should not be more than two weeks old; read Your Rights and Responsibilities; and Conditions of Your FWS Award)

3.    Have your current contact person/supervisor complete Part 1 of the Employment Agreement

4.   You sign Part 2 of the Employment Agreement

5.   Submit your Employment Agreement to the Human Resource Services, CLA Building 98, Room B1-20. Be sure and take the required documents with you to Human Resource Services

6.   You may start working once your supervisor has received the processed Employment Agreement back from the Office of Financial Aid and Scholarships, and the quarter has begun

7.   New Employment Agreement forms must be completed each Fall Quarter—even if you do not change jobs
 

New FWS Student/ Employee

1.   Go to BroncoDirect and review your Financial Aid award after you have registered and paid fees to make sure you have an FWS award

2.   After you have registered and paid fees go to the Career Center website and enter BroncoConnect to review the job listings for students for FWS Awards

3.   Select a few jobs you are interested in and want to apply for

4.   Schedule an interview with the contact person listed on the job listing

5.   Print a copy of your Employment Agreement (Check the date; the Agreement should not be more than two weeks old; read Your Rights and Responsibilities; and Conditions of Your FWS Award)

6.   Take your Employment Agreement  on your interview

7.   When hired, have the contact person/supervisor complete Part 1 of the Employment Agreement

8.   You sign Part 2 of the Employment Agreement

9.   Submit your Employment Agreement to Human Resource Services, CLA Building 98, Room B1-20. Be sure and take the required documents with you to Human Resource Services

10. You may start working once your supervisor has received the processed Employment Agreement back from the Office of Financial Aid and Scholarships, and the quarter has begun

Processing Your Paperwork (Required Documents)

All required documents must be presented and/or completed in person at the Human Resource Services in the CLA Building 98, Room B1-20:

1.   Bring with you:

  • Driver’s License or ID card or your Cal Poly Pomona picture ID
    AND
  • Your original Social Security card (photocopies are not acceptable)
    AND
  • Your original INS form or naturalization documents if applicable (see acceptable documents)
  • The name and address of the person you select as a beneficiary

2.  Complete in person with Human Resource Services:

 
 
Your Rights
  • To be given clear instructions and training for the job
  • To be paid for the hours you work
  • To work in a safe, drug-free, non-threatening environment
  • To be treated fairly and without discrimination or sexual harassment
  • To receive worker's compensation coverage in case of an on the job injury
  • To request a pay increase based on change in job duties, length of employment, or exceptional performance (an increase is not guaranteed)

Your Responsibilities
  • Remember: this is a real job; take it seriously
  • To not conduct personal business while on the job
  • To reapply each year by completing a new FAFSA by the March 2 deadline  
  • To read and complete all required paperwork  
  • To abide by any dress code standard in the workplace  
  • To present yourself in a professional manner while on the job
  • To show up to work on time
  • To notify your supervisor promptly of any changes in your work schedule

Tools For Managing Your FWS Earnings
  • A Weekly Hour Calculator is provided to help you determine the maximum number of hours you can work each week to earn your full award each quarter. This will help you to not run out of funds early or over earn your awarded amount  
  • An Award Balance form is provided to help you keep a monthly balance of your earning so you do not over earn your award for any quarter

Getting Paid
  • Your employer must submit your Timesheet and the Student Assistant Attendance Report (CD048)a Payroll Voucher to the Office of Financial Aid and Scholarships each month using the schedule provided on the timesheet
  • Off-campus employers only submit the timesheet
  • An example is provided to show you how to complete your timesheet
  • Pay periods do not always fall within a calendar month, so follow the Pay Period Schedule
  • Late timesheets result in late paychecks
  • Incomplete and incorrect timesheets will be returned to your supervisor for corrections and might result in late paychecks
  • FWS wages are subject to State and Federal taxes. You will receive a W-2 at the end of each calendar year. Please check with the IRS to see if you are required to file a State or Federal income tax return
  • FWS students are not entitled to benefits such as overtime pay, paid holidays, paid vacation, paid sick leave, unemployment insurance or permanent status
