New Club/Organization Registration Procedure
2009-2010 Academic Year
Thank you for your interest in registering a new student organization. Clubs and organizations are a vital part of the Bronco community. You may begin the new organization registration process any time.
Registration Deadline for 2009-2010 Academic Year: Friday, October 16, 2009
The 9 steps to registering new student organizations are outlined below. Please read these instructions carefully and follow the steps:
Step 1: Research Existing Organizations
- The first step is to conduct a needs analysis. There may be an organization on campus that already fulfills the goals and mission you see to fulfill
- Visit Marla Franco (mfranco@csupomona.edu) in the Office of Student Life & Cultural Centers (building 26-124) to discuss your proposed organization
Step 2: Submit an Intent to Register Form
- On this form, you will be asked to name your organization, and to draft a mission statement that explains the purpose of your organization
- In addition, you will need to find a Cal Poly Pomona faculty or staff member to serve as your advisor. This person's role is to support you in the founding of your organization (see the Advisor Guidelines document link below)
- Submit the form to the Office of Student Life & Cultural Centers (OSLCC)
Step 3: Recruit Officers
- All student organizations must have a minimum of 5 students, total, to register
- At this point, recruit students that will serve as officers of the organization and will help in the initial organization of the group
Step 4: Submit By-laws
- By-laws outline the rules by which an organization is governed
- In drafting your by-laws, you must follow the sample by-laws provided by the University (see document link at the end of this page)
- Submit this document for review to OSLCC. You can turn in your by-laws either with your Intent to Charter form or after you have turned in the Intent to Charter form, however, your club will not be approved until the by-laws have been recieved.
While you are awaiting approval of your by-laws, complete Step 5:
Step 5: Attend a Student Organization Orientation
- All clubs/organizations Presidents are REQUIRED to attend one orientation, although other officers are welcome and encouraged to attend
- Representatives must attend the full hour to earn credit
- You may represent more than one organization
- There is no need to register or RSVP to attend the orientation

4) Thursday, Aug 27th 12:00pm-1:00pm, BSC: Centaurus
5) Wednesday, Sep 16th 12:00-1:00pm, BSC: Centaurus
6) Thursday, Oct 1st 12:00-1:00pm, BSC: Centaurus; week 1 of Fall
7) Thursday, Oct 8th 12:00-1:00pm, BSC: Centaurus; week 2
8) Friday, Oct 16th 12:00-1:00pm, BSC: Centaurus; week 3
9) Tuesday, Oct 20th 12:00-1:00pm, BSC: Centaurus; week 4 (late registration)
Step 6: Obtain a Username & Password
- Your club/organization will obtain a username and password via email once steps 1-5 are completed
- You will have the ability to change your password once you log on. Please ensure that you do not lose or share your username and password.
Step 7: Complete the Online Registration Form
- You must use an on-campus computer to complete this registration form
- Click Here to start the Online Registration Form
- Complete all fields, including inserting your club bylaws
- To save your progress on the form, click Update at the bottom of the page
- Print a copy of your on-line registration & keep it for your organizations records.
Step 8: Submit Advisor Application Form
- The Advisor Application (document linked below) confirms that the officers of the organization have selected the advisor(s), that the advisor accepts the role, and that the advisor's department are aware and approve of this
- Review the Advisor Application with your Cal Poly Pomona Faculty or Staff Advisor(s)
- Please print legibly, do not abbreviate the name of the organization
- Please make sure your advisor puts their initials next to the area marked: "I am familiar with EO 1006."
- Obtain original signatures
- You may have 1 or 2 advisors listed on the application
- Submit the Advisor Application to OSLCC
Step 9: Visit ASI Business Services
- Once steps 1-8 have been completed, an email will be sent by OSLCC confirming that the organization is now officially registered
- Once the organization is registered, submit the ASI Account Application form (see link below) to ASI Business Services (located on the second floor of the Bronco Student Center, building 35)
