Registration Instructions

Here are the 5 steps you need to follow to officially register your new club or organization.  Once you have completed all 5 steps, you are officially registered.  Please read and follow the steps carefully!

Registration Deadline: October 16, 2008

Step 1: Submit an Intent to Register and a DRAFT of your club By-laws

  • Complete the Intent to Register Form, including original signatures.
  • Complete a draft of your club’s by-laws, closely following the sample by-laws provided by the Office of Student Life & Cultural Centers.
  • Submit BOTH of these paper documents for review to the Office of Student Life & Cultural Centers.
  • While you are awaiting approval of your by-laws, RSVP and attend one of the mandatory workshops explained in Step 2.  This will allow you to continue the registration process.

Step 2: Attend a Mandatory workshop

  • All clubs, organizations and councils must attend 1 mandatory workshop (only once)!
  • Only 1 executive board member is REQUIRED to attend, although others are welcomed and encouraged.
  • You must ensure that you can stay for the full hour, otherwise select another date or send someone else that can.
  • You may represent more than one organization. To do so, you simply sign in at the workshop and list the organizations that you are representing.
  • RSVP to leadership@csupomona.edu no later than 3 days prior to the workshop of your choice.

This is the complete list of workshops that will be offered.  No additional workshops will be added!

Step 3: Obtain a Username & Password at the Mandatory Workshop

  • Individual usernames and passwords will only be distributed at the mandatory workshops.
  • This applies to both new and returning clubs.
  • You will have ability to change your password once you log on.  Please ensure that you do not lose your username and password.  Each club only receives one set, so do not lose it!

Step 4: Complete the on-line registration process

  • The deadline to complete Club & Organization Registration is Thursday, October 16No extensions will be given!
  • As part of the registration process this year, all clubs, organizations and councils will be asked to re-submit their by-laws.  Since new clubs will have already submitted a DRAFT in Step 1, you simply will post the approved version of your by-laws when you are completing the on-line registration process.  The on-line process allows you to save your work and return to make edits, if you are unable to enter the information all at once.
  • When you have completed the entire registration process, click to submit.
  • You should always print out a copy of your registration and keep it as part of your organization’s records.

Step 5: Have your Advisor complete the Advisor Application

  • The Advisor Application is the only component of the registration process that is not paperless.
  • This form must be TYPED, except for original signatures.
  • There is enough room to have 1 or 2 advisors listed on the application.
  • Someone from your organization will need to submit the Advisor Application to the Office of Student Life & Cultural Centers before the October 16th deadline.

Review the Advisor Guide with your Cal Poly Pomona Faculty or Staff Advisor(s). Please type in the advisors information and obtain original signatures from your Advisor(s) indicating that they have read and fully accept the information contained in the advisor guide.
