What Is An Access Control Card
A magnetic card that works with an electronic or electromechanical device to replace or supplement mechanical key access to a building or area within a building.

 

What Systems Require Access Control Cards
University Police manages the largest access control system on campus but there are additional, smaller systems controlling the Library, College of Engineering and Collins Center.

 

How Do I Obtain an Access Control Card for a University Controlled System

1.      Your eligibility for access to electronically controlled areas will be determined by your department. 

2.      Initiate your request with the department head. 

3.      The department head will complete a University Police Department Access Control Card Request Form. 

4.      Submit the completed form by either mailing the request to the Access & Alarm Coordinator at the University Police Department or faxing the request to ext. 4909.  Please try to plan and allow five workdays for your request to be processed.  The Access & Alarm Coordinator will make every effort to respond to your request as quickly as possible.  If a shorter timeline is desired, please indicate the need on the completed application and every effort will be made to complete your request.

5.      You or the authorized department designee will be notified by E-mail when your Access Control Card is ready for pick-up at the Parking & Transportation window in Bldg. 91 before 5;00 PM Monday through Friday. 

6.      When you come to pick up your Card you will be asked to show picture identification and to sign a form indicating that you have received your Access Control Card.

 

What are My Responsibilities
 

1.      Maintain a record of your Access Card number in a safe and secure location

2.      Maintain, secure and be responsible for any Access Control Card(s) issued to you.  Never lend the card to someone else.

3.      Report loss or theft of Access Control Card(s) to the Access Control Coordinator (ACC) or the University Police Department within 24 hours of discovery of theft or loss. 

 

When and Where Do I Return My Access Control Card
Upon terminating from your department, return your Access Control Card to your department or the University Police Department.  The department should return the card to the Access Control Coordinator to be deactivated.

 

Broken Access Control Card
A new Access Control Card request form, signed by the department head or designee, must be submitted with the broken Access Control Card for a replacement to be issued.

 

May I Duplicate or Share My Access Control Card
No, you may not.  Sharing or duplicating access cards compromises the security of the system and undermines the auditing function of the system. 

Any person who knowingly makes, duplicates, possesses, or uses access control cards (keys) to university premises, without authorization, is punishable under the law per section 469 of the California Penal code, which states:

“Any person who knowingly makes, duplicates, causes to be duplicated, or uses or attempts to make, duplicate, causes to be duplicated, used, or has in their possession any key to a building or other area owned, operated, or controlled by the State of California or any state agency… without authorization from the person in charge of such building or area or their designated representative, and with knowledge of the lack such authorization is guilty of a misdemeanor.”

Anyone violating these guidelines is also subject to administrative disciplinary actions from the university.
