Room Changes

Interested in moving into a double room, another room type? Or move into another community, the Suites?  Or just want to swap rooms with another student?  Room change requests will be accepted online starting at 7am on October 12.  It is a first come serve basis, so don’t wait.  The deadline to submit a room change request is on 8am on Wednesday, October 14.  To request a room change for Fall 2009, please review this information.

STUDENTWEB

University Housing Service's StudentWeb is a website for residents. It is hoped that this site will provide an easy and seamless method for viewing, maintaining and updating resident information.

For prospective and current residents, this site will allow you to:

  • View contact and emergency information for accuracy
  • Update contact and emergency information, when needed
  • Complete the contracting steps to lock in your space for next year
  • Participate in important housing processes such as Room Selection (selecting a space for the next Academic Year)

At different times, additional features will be added for residents, such as the ability to request or perform room changes and signing up for waiting lists or lotteries.

CANCELLATIONS
All contracts are for the year (fall 2009-spring 2010).  If you will not be returning to school for the winter or need to cancel your Student Housing License Agreement for the winter quarter, you may request to cancel your contract. The last day to request the cancellation of your contract is next Tuesday, November 10, 2009. Requests received after the deadline will not be considered. All cancellations requests will be reviewed and you will be contacted regarding the next step. 

Checking out without prior approval does not release you from your contract and you will be held financially responsible for the remainder of the contract agreement. ROOM CHANGE REQUESTS
Still interested in moving into a double room, a space in the Suites, or swapping rooms with another student?  Room change requests will be accepted online beginning at 7am on November 16.  It is on a first-come, first-serve basis, so don’t wait.  The online request form closes at 8am on Wednesday, November 18.

MANAGE YOUR OWN MEAL ACCOUNT!

Foundation Dining has added a great new service that allows you to view your meal plan account, check your balance and transaction history, report a lost or stolen card and add Bronco Bucks. Pass this link on to your family and they can add Bronco Bucks for you! All you need to do to set up your account is to sign in using your Bronco ID and set up a password (have your card handy for setting up the first time). Use this link to Manage My ID.

 

IHC WANTS YOUR BOX TOPS!

Help IHC raise funds by donating box tops. A list of eligible products will be listed at your building’s front desk. Please drop off box tops at your front desk before November 11th. Thank you for any contributions you can make.

2009 3D LEADERSHIP CONFERENCE

The 2009 3D Leadership Conference will take place on Friday, November 13, 2009 @ the Bronco Student Center from 11 a.m. to 5 p.m.  This year’s theme is “Capture Your Passion” and the keynote speaker is Dustin Lance Black, Academy Award Winner for Best Original Screenplay for MILK.   Registration is FREE and open now, and closes on Tuesday, November 11, 2009.  Go to dsa.csupomona.edu/division/leadership/3D.asp for more information and to register.

 

FURNITURE SELECTION FOR SUITES PHASE II

Furniture vendors will be displaying sample furniture for the Residential Suites Phase II throughout the month of November.  Next week, a vendor will be displaying furniture on Tuesday, November 10th and Thursday, November 12th from 11:00 a.m. through 3:00 p.m. at the Naranjita Center, Bldg. 71 (Located next to Aliso Hall).  Evaluation forms will be available for you to give your opinion on these furniture selections.  Light refreshments will be served.

HOUSING AND MEAL PLAN CHARGES

The deadline to pay for housing and meal plan fees has passed. Even if you have Financial Aid, you should check your account to be certain all your aid has been successfully disbursed. If you still have an outstanding balance, it may mean that there is still unfinished paperwork that is preventing you from receiving your funds. If you have pending loans, please contact the Housing Office and provide this information. Residents with outstanding balances that have not contacted the Housing Office by Monday, November 2nd, will have their meal plans suspended and will have a late charge added. Nonpayment of fees jeopardizes your housing status. Contact the Housing Office with any questions.

 

VISTA DEL SOL LIGHT CLEANING

Starting on Monday, November 16th through Friday, November 20th UHS Facilities staff will be light cleaning in building 61 from 9:00am to 4:00pm.  We will be starting on the 4th floor and working down to the 1st floor.

IHC HALLOWEEN HAUNT

The Inter-Hall Council will be hosting the first annual ASYLUM HAUNT in Java (Building 71) on Friday October 30th and Saturday October 31st from 7pm-11pm nightly.   There will also be games and activities and a dance!   Friday only there will be pre-Haunt activities in the Games Room from 5-7pm.  Check it out on Facebook for the full schedule: http://www.facebook.com/home.php?#/event.php?eid=159694404018 and come in costume if you like!  This event is a collaboration between Inter-Hall Council, ASI Beat, and Cal Poly Rose Float.

Inter-Hall Council’s next meeting is Wednesday, November 4th at 8:00pm in the Center for Regenerative Studies.

FLU VACCINE CLINIC

On Thursday November 5, 2009, in conjunction with the LA County Health Department, CPP will be hosting a Flu Vaccine Clinic. The clinic will be open from 9am - 4pm in the CTTI Building (located on Temple Ave, across from the Village). University Housing Services will be providing shuttle service to and from the CTTI building between 9am - 4pm on November 5. Shuttle stops will be located by the Building 59 (duck pond), Building 23 - Aliso Hall, and the Residential Suites near the sidewalk between the baseball & track field (Parking Lot B). Students that are currently ill will not be permitted to receive the flu shot. If you are a student interested in volunteering at the vaccine clinic, please contact Jennifer Dingman at jsdingman@csupomona.edu.

BUCK THE JUICE! ENERGY CONSERVATION COMPETITION
Turn off those lights, televisions, computers and anything else plugged in, when you are not using it!  The competition has just begun and not only are you competing for a pizza party but you are also reducing your carbon footprint.   Next week, there will be an update to see how your building is measuring up.

DO YOU USE FINANCIAL AID TO PAY FOR HOUSING AND MEAL PLANS?
If so, you should always double check your account to be certain you have received the aid you are expecting. Many of you still have pending loans that will not be disbursed until you complete a workshop or select a lender. This means that your housing and meal plan dues are overdue and you will see that you have a balance that is still due. Please check your account and contact the Financial Aid office if your loans are still pending.

ARE YOU ON THE QUARTERLY OR INSTALLMENT PAYMENT PLAN?
If this applies to you, your housing and meal plan fees should have been paid by October 16th. There are still many of you with outstanding balances. If these balances are not paid by this weekend, your meal plan will be suspended on Monday, October 26th. Please call the Housing Office with any questions.

WASH CLOTHES IN COLD WATER
Even if you may not own the washing machine you are using, you can still help out the environment by washing your clothes in cold water. This not only causes less heat damage to your clothing, but it also uses less electricity, which in return produces less CO2.

E-WASTE COLLECTION PROGRAM
Do you have electronic devices that are no longer working? Please keep these harmful and toxic items out of our landfill and turn them in at the campus Community E-Waste Collection event (it’s actually against the law). Bring these items to 3650 West Temple Avenue (across the street from the Village Apartments in Parking Lot O on Saturday, October 24, 2009 between 7:30 am – 3:30 pm. If you have large items, please call (951)733-2330 or email them at ehs@csupomona.edu for assistance.

TIPS TO KEEP YOU IN HOUSING AND OUT OF THE STUDENT CONDUCT SYSTEM

1.   Read the Polices: http://dsa.csupomona.edu/uhs/hla_policies_09-10.asp

  • You are responsible for following all of the policies, whether you have read them or not.
  • Your RA, RLC, and any other housing staff member can assist you if you have questions about any of the policies.

2.  Know the laws as they pertain to UHS policies. Below are two examples:

  • Marijuana is illegal. Period.
  • Alcohol use/consumption/possession is illegal for anyone under 21. Providing alcohol to anyone under 21 is illegal.

3.  Be aware of specific policies where you are likely to get evicted on a first violation.

  • Controlled Substances (including Marijuana use)
  • Dangerous Behavior
  • Physical / Written / Verbal Abuse or Harassment
  • Sexual Assault
  • Sexual Harassment
  • Communicable Diseases
  • Fire Safety/ Evacuation
  • Appliances (can be an extreme fire hazard)

4.  Learn about what it means to be evicted

  • Moving out of housing for a minimum of 1 academic year (4 full quarters).
  • Being financially responsible for your residence hall / suite space until it is filled by another resident.
  • Being banned from ALL UHS AREAS, including Los Olivos, Vista Café, Residential Parking Lots.
  • Being referred to the Office of Judicial Affairs for additional sanctioning.

2009 CAMPUS MOVIE-FEST (CMF)
During this year's tour, 75,000 students will participate in over fifty events, earning $400,000 in prizes and the chance to see their movies on the big screen at school red carpet finales and regional grand finales, in addition to showcases on AT&T phones and in-flight on Virgin America.

The events culminate at the CMF International Grand Finale at Paramount Studios in June 2010. Check out more info, and all the movies ever created during CMF, here at campusmoviefest.com.

PETITION TO CANCEL FOR WINTER 2010
The time period to request a cancellation of your housing contract for the Winter quarter is between October 16 and November 10th. YOUR SAFETY IS OUR CONCERN
University Housing Services is concerned about the safety and security of our residents and their personal belongings.  UHS works very hard with the University Police Department to keep safety a priority.  But need the help of all residents to help by taking responsibility for developing a safe environment, such as refrain from propping doors, unpropping doors, and reporting wandering solicitors/strangers, even reporting roommates that have not been seen for a week or more. ATTENTION ALL RESIDENTS
Residents approved to change rooms will be completing their room change this Friday, October 16 and possibly even over the weekend.  Please DO NOT SPREAD OUT your belongings into any empty spaces.  Students are expected to move in and if your belongings prevents another resident from moving in, you will be assessed a charge. Your cooperation is appreciated.

BUCK THE JUICE – ENERGY REDUCTION COMPETITION!
Reduce your carbon footprint and win a pizza party for your building.  You can also win other prizes when you pledge to reduce your energy consumption! Between October 19h and November 16th, we will monitor energy use in all buildings. The building that has the most energy savings will be rewarded with a pizza party. Look for posters in your building for more information.
Be Earth Friendly tip: Turn off your computer, monitor and printer when you go to class.

The IHC council members have been selected, consisting of senators representing each hall and commissioners undertaking a variety of special tasks.  Congratulations to these new officers, who will be attending a leadership retreat this weekend!  Inter-Hall Council’s next meeting will be Wednesday, October 21st from 8:00pm – 10:00pm in Aliso Hall.

    The State of California will be holding its 2nd Great Shake Out Earthquake Drill. The campus will be joining this drill by asking students, staff and faculty to respond as if an earthquake occurred at 10:15am on October 15, 2009. Please be aware of this exercise and join the anticipated 10 million Californians in practicing this life saving procedure.     HOUSING PAYMENT DEADLINE
    The second installment payment for Fall Quarter has been posted on your BroncoDirect account on.  Payment will be due on or before Friday October 16, 2009, as listed on the Cost/Payments Plan schedule. If you are expecting any adjustments to your charges due to the difference between your original contract preference and your final assignment, you may need to wait until next Tuesday to check for the corrected amount you owe. Please read the following notice:

    IMPORTANT! CHECK YOUR BRONCODIRECT ACCOUNT FOR CHANGES
    The Housing Office is in the process of updating the charges for residents who received different room types or changed meal plans. Some you may have signed up for doubles and received triples or were assigned to a triple and then offered a double. These charges will be modified in the next several days.

    We anticipate that by end of day next Tuesday, October 13th, these charges or credits will be reflected on your BroncoDirect account. Please check your account; even if you think all your charges are fine, to be certain you do not owe any additional fees prior to October 16th.

    October 16th is the deadline to pay the second installment payment for those of you on this plan and for any changes that may have occurred. Please contact the Housing Office if you feel your charges are still not correct by next week.

SUBMIT WORK ORDERS ONLINE
Residents can submit work order requests for maintenance services through the Housing StudentWeb.
Along the navigation links on the left of the StudentWeb page, you’ll find the links to “Submit New Work Order”. Use the form to describe the problem that needs to be addressed and whether you’d like to be notified by email or by phone. You can also check the status of your work orders through the StudentWeb page.

To submit your work order request, please provide a detailed description of the problem. There should be only one maintenance problem per work order entry. Your current building and room is automatically included as part of your request. If you are reporting a problem in another area, please specify the location in the description box.

Note: by submitting a work order repair request, you are authorizing the UHS Maintenance staff to enter your premises for the repair.

MEAL PLAN
In addition of your 10, 14, 19 meals at Los Olivos Dining Hall or Vista Café, you have 125 “Meal Points” per quarter on your Bronco ID card.  Your Meal Points may be used at any of the food venues on campus. For a list of food venues and hours please visit the Foundation Dining Services website at http://foundation.csupomona.edu/dining/ .

TO USE FITNESS EXPRESS – ATTEND AN ORIENTATION!
The first step to activate your free membership at Fitness Express is to attend an orientation. Fitness Express is located in Building 59.

Orientations are offered:

  • Monday-Friday, every half hour beginning at 6:00pm; last one at 9:30pm
  • Saturday & Sunday every half hour beginning at 2pm; last one at 9:30pm

The second step is to take your ID, Laundry Access Card and Fitness Liability form to the Housing Office the next business day between 1:00pm and 4:00pm.

Fitness Express Hours of Operation:

  • Monday through Friday,* 8am – 10pm
  • Saturday and Sunday, 2pm-10pm

*On Fridays when the campus is closed: 2pm-10pm

WHERE IS MY PACKAGE?
Letters and packages that do not require a signature, such as regular postal mail Priority Mail, will go directly to your building’s front desk and placed in your mailbox Monday-Friday, in the evening, except on Fridays when the campus is closed.

Letters/packages that do require signatures, such as Express Mail, Certified Mail, UPS, FedEx, etc. will be delivered to University Housing Services (Building 59).  You may pick up your package from the Housing Office, Monday-Friday, 8am-5pm. (Please check our website for a schedule of Friday closures: Department Calendar ). After hours, you may pick up packages at Fitness Express during their hours.

GOT DIRTY LAUNDRY?
There are washers and dryers located on the first floor in each building. When you checked-in, you received a 2009-2010 Access Card that serves as both your laundry and Fitness Express card. The washers and dryers do not accept cash. You may add value to your laundry card at Fitness Express or Los Olivos Dining Commons using a credit/debit card or cash ($5, $10, $20).

IS THERE AN EMPTY SPACE IN YOUR ROOM?
If your roommate(s) have not yet moved in, please DO NOT SPREAD OUT your belongings. Some students are still moving in and if your belongings prevent another resident from moving in, you will be assessed a charge. Your cooperation is appreciated.

GUEST PARKING ON WEEKENDS
Beginning this weekend, guest parking on weekends will be $3.00 per day. The weekday rate is $5.00 per day. Please remind your guests that parking without a permit on weekdays and weekends will result in a citation. The pay stations are located in areas where guests may park.

Welcome to your first Weekly Web Update!  Be sure to read weekly to stay up-to-date on important  information from University Housing Services. 

IMPORTANT POLICIES TO REVIEW
We want you to have a successful experience while living on campus. Along with the right to life in a safe and welcoming community comes the responsibility to comply with UHS and University policy.  Please review our policies including the significant ones highlighted below.

  • Drug-Free Workplace Policy:  Cal Poly Pomona complies with the Drug-Free Workplace and the Drug-Free Schools and Communities Act.  This means that the use of illegal substance and/or the misuse of prescription drugs are strictly prohibited.
  • Zero Tolerance Policy:  Cal Poly Pomona enforces a Zero Tolerance Policy on Campus Violence. This means any acts of physical, written or verbal abuse, harassment, or assault through any medium including the internet will not be tolerated. 
  • Fire Safety:  In accordance with City of Pomona Ordinance #3286, Cal Poly Pomona upholds that any intentional misuse or tampering with the fire safety system or firefighting equipment (i.e. fire alarm, fire extinguisher, emergency “EXIT” signs, smoke detectors, etc.) is strictly prohibited and is considered a misdemeanor violation when reported to city officials.
  • Weapons:  Cal Poly Pomona enforces a strict policy regarding weapons of any kind.  The possession, use or threatened use of any weapon (or item that could be considered a weapon) deemed by the campus authorities to be deadly is prohibited.
  • Computer/Technology Acceptable Use Policy:  Any unauthorized access, attempt to access, or use of any State computing or network system is a violation of Section 502 of the California Penal Code and other applicable Federal Laws and is strictly enforced and subject to criminal prosecution.  Violators are subject to loss of networking privileges and possible eviction from the residence halls.

Please become familiar with these policies and be aware that first time violations of any of these policies may result in eviction from the residence halls.  You can find specific information regarding each of the above mentioned policies in either the 2009-2011 Cal Poly Pomona Catalog:

MEAL PLAN
Meal plans were made active on Wednesday, September 23, 2009 with dinner.  Don’t forget that your 10, 14, 19 meal plan refreshes every Saturday.  For more information on your meal plan visit our website at

On the run and are not able to have a sit down meal… ask a Los Olivos’ cashier about “Cashing Out.”  You are able to exchange your sit-down meal for a meal on the go, which is what we call “Cashing Out.

ETHERNET HUB IN TRIPLE ROOM
You will find one Ethernet Hub in Triple room for the internet connection. This hub is to be shared between all roommates in your room.  To connect your computer to the internet, you and your roommates will each need to purchase a CAT-5 Ethernet cable.
When you check out or vacate your room, you and your roommate(s) are jointly responsible for the hub in your room.  Please be advised that the current replacement charge for a damaged or missing hub is $75.  This amount, if applicable, will be divided between you and your roommates and applied to your student account.

USE ANTI-VIRUS PROGRAM
If your computer does not have any anti-virus software, you may pick up a FREE copy of McAfee Anti-Virus from Housing Office (Building 59).

KEEP WINDOWS UPDATED
Keep up on the latest Windows Updates to prevent computer vulnerabilities. Please turn on Auto Window Update feature from your computer.

DO NOT DOWNLOAD UNAUTHORIZED COPYRIGHT MATERIAL
Downloading unauthorized copyright materials is a violation of federal copyright protection laws and a violation of the Residence Hall Technology Acceptable Use Policy. If you are illegally downloading files, your internet will be turned off and you will be subject to an investigation which may take 3 to 5 days to complete. To avoid interruption in your network connectivity, please turn off file sharing features on your computer.

FITNESS EXPRESS
Don’t forget to take advantage of your free membership at Fitness Express, located in Building 59. Hours of operation are from 8am-10pm on weekdays and 2pm-10pm. New residents will need to attend a short orientation and complete a release form in order to begin using the facility. Bring your copy of the release form to the Housing Office to activate your card, Monday through Friday, 8am-5pm. Fitness Express will be open evenings, beginning Monday, September 28, 2009. Orientations will be given every half hour beginning at 6pm next week.

BUSINESS SERVICES HOURS
University Housing Services will be closed two Fridays a month in compliance with State mandated closures. Please refer to the campus calendar for up-to-date information on these dates. The Residence Life staff will continue to have emergency response staff on duty, even on Fridays when the campus is closed. Link to Cal Poly Pomona Closure Calendar.

H1N1 – FLU PREVENTION
Stay up-to-date on H1N1 flu! The University Housing Services website will continue to update you on the latest information and prevention methods. Best practice…wash your hands…use sanitizers…help prevent the spread of flu this season! Read the Poly Centric article this week.

  • Anonymous Tip Line
    To report anonymous crime information, community members may leave a voicemail at (909) 869-3399.  This number provides voicemail features only and and does not display/record location or caller id information.  When leaving your message, please provide as much information and be as specific as possible.  Messages are checked daily and referred to investigators for follow-up.
  • Anonymous Confidential Reports
    If a crime victim/survivor does not wish to file a police report, University Police encourages voluntary, anonymous and confidential reports of crimes listed under the Clery Act.. Voluntary and confidential reports of crimes including sexual assault may be made by completing a Crime Data Collection Form.  A victim/survivor or a person who has firsthand knowledge of a crime may complete the form. Forms are available in University Police, Counseling and Psychological Services, Student Health Services, University Housing Services, the Village, and Violence Prevention and Women’s Resources.

IMPORTANT NOTICE TO ALL SUITES RESIDENTS
Light Cleaning is Schedule for Vista Del Sol
University Housing Services custodial staff will be performing light cleaning in Vista Del Sol, Bldg. 61, starting September 8 – September 15. It is important that you keep your belongings to your side of the room and common area in order to assist us in preparing the suites for incoming residents moving in over the next couple of days.

DINING HOURS
If you are staying on campus this weekend, Los Olivos and Vista Cafe will be closed. Kellogg West will be open during the following meals:

Brunch 11:30 am - 1:00 pm

Dinner - 5:00 pm - 7:30 pm

Residents continuing their contracts through the Fall quarter will be allowed to stay in their current space through Transfer Day, Wednesday, September 16thOn Transfer Day you will be able to check-in to your fall assignment and must check out of your summer assignment.  We will have limited staff available to check you in and out between 9am-4pm, so we encourage you to start packing as soon as possible and not to wait till the last hour.  You will receive an email with the details on  where to go to check-in and check-out properly. CANCELLATIONS
All contracts are for the year (fall 2009-spring 2010).  If you will not be returning to school for the winter or need to cancel your Student Housing License Agreement for the winter quarter, you may request to cancel your contract. The last day to request the cancellation of your contract is next Tuesday, November 10, 2009. Requests received after the deadline will not be considered. All cancellations requests will be reviewed and you will be contacted regarding the next step. 

Checking out without prior approval does not release you from your contract and you will be held financially responsible for the remainder of the contract agreement. ROOM CHANGE REQUESTS
Still interested in moving into a double room, a space in the Suites, or swapping rooms with another student?  Room change requests will be accepted online beginning at 7am on November 16.  It is on a first-come, first-serve basis, so don’t wait.  The online request form closes at 8am on Wednesday, November 18.

MANAGE YOUR OWN MEAL ACCOUNT!

Foundation Dining has added a great new service that allows you to view your meal plan account, check your balance and transaction history, report a lost or stolen card and add Bronco Bucks. Pass this link on to your family and they can add Bronco Bucks for you! All you need to do to set up your account is to sign in using your Bronco ID and set up a password (have your card handy for setting up the first time). Use this link to Manage My ID.

2009 3D LEADERSHIP CONFERENCE

The 2009 3D Leadership Conference will take place on Friday, November 13, 2009 @ the Bronco Student Center from 11 a.m. to 5 p.m.  This year’s theme is “Capture Your Passion” and the keynote speaker is Dustin Lance Black, Academy Award Winner for Best Original Screenplay for MILK.   Registration is FREE and open now, and closes on Tuesday, November 11, 2009.  Go to dsa.csupomona.edu/division/leadership/3D.asp for more information and to register.

 

FURNITURE SELECTION FOR SUITES PHASE II

Furniture vendors will be displaying sample furniture for the Residential Suites Phase II throughout the month of November.  Next week, a vendor will be displaying furniture on Tuesday, November 10th and Thursday, November 12th from 11:00 a.m. through 3:00 p.m. at the Naranjita Center, Bldg. 71 (Located next to Aliso Hall).  Evaluation forms will be available for you to give your opinion on these furniture selections.  Light refreshments will be served.
