
The following information will assist you in making a smooth transition into the Residential Suites. Please take the time to read this information carefully. We also recommend that you refer to the 2008-2009 Housing License Agreement posted on the Housing website for detailed information about our policies. Checking In
Check in day for the Residential Suites is Wednesday, September 24, 2008 and is by appointment. Residents will receive their appointment time in a confirmation email.
Due to the construction zone for Phase II of the Residential Suites, all residents will be directed to park in LOT B. Please report to the tent located in Lot B. Housing staff will be directing traffic and will assist you in facilitating this process. Once you have reported to the check-in table for your building, a resident advisor will provide you with keys and a Room Inventory form. It is important that you fill out the Room Inventory completely, since this form is used to assess the room condition for damages at the end of your contract.
If you are unable to check in on the date listed on September 24th, the front desk will be open Monday through Friday from 6:00 pm to 10:00 pm or you may check in on the weekend by paging the resident advisor on duty.

What to Bring
Each bedroom is furnished with a desk, chair, bed, mattress, mattress pad, chest of drawers, closet and wastepaper basket. The bed size is 36" x 80". These are extra long beds and will require special sheets, which are available at local department stores. You will want to bring bath towels, blankets, sheets, pillowcases, pillows, bedspread, study lamp, alarm clock and clothes hangers.
The kitchen includes a full size, residential refrigerator, microwave oven, trash can and recycle bin. You may bring toasters and other cooking devices with open heating elements but these must be used in the kitchen areas only. All appliances must be directly supervised at all times while in use. You will need to bring your own kitchen supplies: plates, cups, utensils, paper towels, etc.
For the bathroom, you will need to bring your own bathroom articles (toothbrush, etc.), paper supplies (toilet paper), shower curtain (and hooks), and cleaning supplies. The shower has slip proof features. You may bring a shower mat, but adhesive (stick on) decals are prohibited. Bicycles
Residents are welcome to bring their bicycles to campus. Bicycles must be stored in the racks located outside of the building.

Parking
Parking is available for students in several lots across campus, including the new parking structure located between Oak and Magnolia Streets, off Cypress Lane. You must have a Cal Poly Pomona parking hang tag to park in student lots. Decals cost $90.00 per quarter and are sold by University Financial Services located in the CLA Building or via Bronco Direct.
Ample parking for residents only are available in Lot B and, depending on the phase of the construction project, parts of Log P, located adjacent to the baseball field. A Resident decal is required to be placed on your Cal Poly Pomona parking hang tag. To obtain a Resident parking decal, please bring your Bronco Access Card and Cal Poly parking hang tag to your building’s front desk during the first week of classes. Decals are also available at the Housing Office, located in La Cienega Center, Building 59 Monday-Friday from 8am-5pm throughout the year.
Parking Services gives the students a six-day grace period at the beginning of each quarter to obtain the University hang tag and resident decal.
Safety Tip: If you park your automobile or motorcycle for long periods of time, be sure to check on it periodically, keep your vehicle looking clean and maintained, and move it from time to time.
Vehicles without a hang tag and decal will receive parking citations. There is one week grace period from the first day of each quarter before citations will be issued.

Meal Cards
Cal Poly residents will use their Bronco Access Card as their meal card. Present the card at Los Olivos Dining Commons when using your meal plan. Your Meal Points are also allocated on your Bronco Access Card and can be used at food establishments located in the Campus Center Marketplace and Bronco Student Center. The 10, 14, and 19 Meal Plans must be used at Los Olivos Commons. No credit or refunds are allowed for meals not eaten.
If you have not purchased your Bronco Access Card, you will need to do so at the Photo ID office, located on the 2nd floor of the CLA building. You must provide a valid government issued identification with photo or a Driver’s License.
Students enrolled in the CPELI program will be escorted by a counselor to the ID office to purchase a Bronco Access Card during the first week of classes. During the first week, a sign in sheet will be available at Lost Olivos Dining Hall to receive meals.
Meals at Los Olivos begin with Breakfast on the first day of classes.

Keys
When you check into your Residential Suite you will be issued two keys, one for your room and one for your mailbox. These keys must not be duplicated. For security reasons any lost, stolen, or misplaced key(s) must be reported to the Housing Office, located in Building 59 within 24 hours. Lost keys will result in a lockset change and a new key will be issued for all roommates. A charge of $50.00 for a lost room key and $10.00 for a lost mailbox key will be assessed. Your keys must not be loaned or transferred to anyone else at any time.
An access card will be assigned to you that will open all exterior doors to the Suites building and will also serve as your laundry card (See section on Laundry) and Fitness Express access card. Please treat these cards as you would a credit card. Lost cards must be reported to the Housing Office within 24 hours and a $15.00 fee will be charged for replacement.

Communication
At the end of each week, University Housing Services sends out a Weekly Web Update message to all residents. These emails are meant to communicate important updates, reminders and deadlines for various events and processes. If you have your e-mail forwarded to another e-mail address, please be sure to add the UHS address (housing@csupomona.edu) to your safe list. Please review these messages carefully as they are a primary source of communication between the Housing Office and the resident.
Parents can also stay informed. A copy of the Weekly Web Updates is placed on the Announcements Page, located at http://www.dsa.csupomona.edu/uhs/Announcements.asp . You may also check the Parent Page at http://www.dsa.csupomona.edu/uhs/parents.asp for pertinent housing information.
Although we are restricted in sharing student information by FERPA regulations (see below), we are open to working with families upon permission of the student. To obtain a consent form to allow a parent, guardian or other person to access student records, please stop by the Housing Office, located in Bldg. 59.
What is FERPA?
The Family Educational Rights and Privacy Act of 1974, sets forth requirements regarding the privacy of student records. FERPA governs the limited release of these records (known as education records) maintained by an educational institution and access to these records. Technology Connection
Each room has an Ethernet jack. Students will need a CAT-5 cable with an RJ-45 connection. Wireless connectivity is available in the study rooms of each Suite building (60 & 61). Wireless Internet access is available at the Bronco Student Center, Campus Market Place, Vista Café patio, University Library and academic buildings.

Television Reception
Each room is equipped with campus satellite television reception. You will need to provide your own coaxial cable.

Telephones
Each building lobby has a pay telephone available for guests and residents. In addition, each bedroom has been wired for service by Verizon Telephone Company. There is also a telephone jack in the kitchen area. If you desire service in your room, you must sign up directly with Verizon as a private customer. You may sign up by calling (800) 483-4000 for preorder service. You will need to provide your address in the format used for your incoming mail (see section on Mail Service).

Laundry
You will have access to community washers and dryers. The cost is 75 cents to wash and 50 cents to dry. You will be provided with an access card that will serve as your combined laundry and building access. The washers and dryers do not accept cash. You may add value to your card for laundry purposes at the laundry facility, Fitness Express or Los Olivos Dining Commons.
Do not lose this card. There are no refunds for any remaining balance that may have been on your card. Since this card also allows access to the building, please report lost cards to the Housing Office within 24 hours. A $15.00 fee will be charged for replacement.
LaundryAlert and LaundryMate services are now available for the Vista del Sol laundry room. The LaundryAlert remote laundry monitor will allow you to check the availability of a washer and dryer as well as the current status of a machine online or you can call the LaundryMate automated information service over the phone! You can choose to receive an e-mail alert or phone call when machines become available or when your laundry is done. Instructions are posted in the laundry room.

UHS Fitness Express Membership
University Housing Services provides all residents free access to Fitness Express, a full body fitness facility. It is located in La Cienega Center, Building 59 and is open when school is in session. If you are interested in using the Fitness Express, you will need to complete an orientation and fill out a liability form. Orientations are approximately thirty minutes. The card that serves as your laundry card will be programmed for access to Fitness Express. Your card will be activated the next business day after you complete your orientation and turn in the liability form.
Lost card keys must be reported within 24 hours and a $15.00 fee will be assessed to replace it. Any remaining balance for laundry use will be lost and cannot be refunded.

Interhall Council (IHC)
Residents are encouraged to join IHC, which entitles them access to council-sponsored recreational equipment, social events, and other benefits. The fee is $5.00 per quarter ($15.00 for the Academic Year). If you did not sign up for your membership when you turned in your license agreement, you may still sign up by stopping by La Cienega Center, Building 59.

Mail Service
Each resident has a mailbox located in the main lobby of their building and will be issued a key for it. Mail is placed in mailboxes Monday through Friday. Due to campus closure on Saturdays, Sundays and holidays, there is no mail service on those days. Mail or packages that require a signature from the carrier, such as certified mail, express mail through the United States Postal Service, FedEx, Airborne, UPS or DHL are received in the Housing Office located in Building 59. You will receive a notice in your mailbox if you have received a package/letter. Please keep in mind that it may take a day or two before the student receives their notification slip in their mailbox. We recommend that you check with the Housing Office between 4-5pm to verify if your package was delivered as scheduled and to pick it up. To retrieve packages, you must present a picture ID, during business hours (Monday – Friday, 8am-5pm,) or during the Fitness Express workout hours during evenings, Saturdays and Sundays.
If you are sending a package through the United States Postal Service, we encourage you to send packages Express Mail or Certified Mail, since these are track-able items.

Trash Disposal
Each bedroom includes a wastebasket and a recyclable bin in the kitchen. Both trash and recyclables should be removed and emptied the trash room, located on each floor. Throwing your personal trash in any other location (lobby, restroom, and staircase) will result in a penalty charge and possible disciplinary action.

Going "Green"
The campus and University Housing Services is committed to adopting sustainable practices. As a member of the campus and local community, we ask that you partner with us in reducing waste and conserving energy and water.
Please help us reduce the amount of trash that is taken to landfills. Every room has a blue recycle bin to collect paper, glass, plastic, cartons and other recyclable materials. Recyclables may be deposited in the white metal recycling bins outside the building. After moving in, don’t forget to recycle those cardboard boxes!
Help us conserve energy - turn off computers, unplug unused electrical devices and turn off the lights when not in use or when you leave your room or are out for the day.
Help us conserve water - turn off the faucet while brushing your teeth and take shorter showers. This helps to save gallons of water per day per resident!

Security
All halls are locked 24 hours per day. Telephones are located outside the main front entrance of each hall for guests to call residents and request access. Residents are responsible for escorting their guests. The safety of the community depends on each resident’s cooperation in restricting access to the buildings.

Smoking Policy
In recognition of the health hazards that exist from side-stream or secondhand smoke and in accordance with Section 19262 of the Government Code, a policy promoting a smoke-free environment has been adopted. Smoking is NOT permitted inside ANY University facility or in any vehicles owned or maintained by the University. Therefore, smoking within student rooms or any common area of the Residence Halls will NOT be permitted. Students who wish to smoke must be at least 25 feet from the building.

Alterations To Your Room
Lofting and bunking are permissible using hardware and instructions provided by University Housing Services. Supplies are limited and are available on a first come first serve basis. Due to check-in activities, lofting and bunking supplies will not be available until the first Monday of the quarter beginning at 6:00 pm. Residents may check out hardware at the hall front desk.
Decorations that may be flammable or a fire hazard are prohibited. Please refer to the section of Policies and Regulations under the 2007-2008 Housing License Agreement located on our website at http://dsa.csupomona.edu/uhs/hla_policies_07-08.asp#iii_d for details on what is allowable or prohibited.
Room furnishings must be restored to original order and condition at least two weeks before checking out of the Residential Suites. The University is not able to provide storage for any unused furnishings.

Past Due Housing Payments
Payments are delinquent if not paid by the due date as shown in the cost tables posted on the Housing website http://www.dsa.csupomona.edu/uhs/cost_tables.asp. A $20.00 late charge will be assessed if paid after the due date. It is the student’s responsibility to assure that payments are made on time. Any resident who fails to make payment on time will have their meal plan frozen without compensation for missed meals and risks jeopardizing their housing contract. In addition, unpaid balances also result in hold being placed on student accounts which will affect class registration. Students may check the status of their account by looking at their Account Summary on Bronco Direct. Please make all housing payments at University Financial Services, located on the 1st floor of the CLA Building.

Dishonored Checks
Checks presented for payment that are dishonored by the bank and returned for collection will be subject to a $30.00 penalty and must be redeemed at University Financial Services with cash, cashier's check or a money order. Payment for future fees and services may be subject to a cash, cashier’s check, or money order basis.

Financial Aid Recipients
Students should contact University Financial Aid and University Financial Services for procedures and/or questions regarding payments deferred to Financial Aid Awards. Payment schedules and due dates for those receiving awards are based on the disbursement of Financial Aid and the availability of the awards.
The student is responsible for tracking their disbursements each quarter to assure that housing payments are covered. It is recommended that financial aid recipients verify that their housing fees have been paid in full before cashing any financial aid disbursement checks.

There will be an RA and a Coordinator on duty every evening and all day during the weekends and the breaks. The duty roster and the contact information for staff on duty will be posted at the front desk.
