Incoming Freshman and Transfer Student

ALL STUDENTS interested in housing should take a few minutes to review the information at the following links as well as the information on this page.  It will assist you in completing the License Agreement (application/contract) and the process.


HOUSING FOR 2009-2010 ACADEMIC YEAR

If you are interested in applying for any available spaces for the Academic Year 2009-2010 (Fall 2009, Winter and Spring 2010) you may still access the Student Housing License Agreement for this term using the link below.

If you are interested in applying for the Winter and Spring 2010 quarters, the link to this Student Housing License Agreement is now available. Please use the link below.

APPLY NOW FOR 2009-2010

If you are unable to log in at the site once you have used the link above, please complete a Request for Housing Information. Please allow up to 24 hours on weekdays to update our system to allow access to the online contract. If you complete this form over the weekend, please wait until midday on the following Monday to access the site. Please contact the Housing Office if you require additional assistance.

Assignments are processed on a first come, first serve basis. The online Student Housing License Agreement (contract) will be date and time stamped when it is submitted electronically. If you are considering living on campus, it is advisable to complete a License Agreement early. You may cancel up to thirty (30) days prior to the beginning of the quarter and still receive a full refund.

Here are the procedures:

  • Login with your BroncoName and BroncoPassword. (New to Cal Poly? Click here to learn how to activate (claim) your Bronco ID and Password)
  • Read the Student Housing License Agreement: Policies and Regulations, Community Guidelines; Terms and Conditions.
  • Agree to the terms of the License Agreement in order to proceed to the form
  • Fill in all information requested on the form (you will need to be prepared to select meal plan, payment plan, room type, provide emergency contact information and list any preferred roommates, with their BroncoNumber)
  • If you cannot complete your online contract in one session you may return to it and complete it later. Do not delay too long before completing your contract -  priority is based on the date and time of your online submission. When you return to the form, you will need to “agree” to the terms again in order to continue.
  • Once you have completed the form and submitted it, you will receive a confirmation email.
  • A follow-up email will be sent, confirming your contract details and providing you payment instructions.

SELECTING YOUR COMMUNITY

All incoming freshman students are assigned to the Residence Halls. Transfer students may be considered for the Residential Suites or the Center for Regenerative Studies (CRS). Please use the links below for detailed information.

ROOM ASSIGNMENT PROCESS

Room assignments are processed based on space availability. Assignments for the Winter 2010 quarter will be processed between November 23-December 11, 2009. An email confirmation will be sent to those who receive assignments during the week of December 14th. The check-in day for the Winter Quarter is Sunday, January 3, 2010.

MAKING PAYMENTS

You will receive confirmation of the housing and meal plan fees that are due. Once they are posted on your BroncoDirect account you will have the following options available to you:

  • In person (Cashier's Office, 1st floor, CLA Building 98)
    • It is recommended that you take a copy of your contract details with you.

 

  • Mail in check or money order
    • To mail in a payment, you must include your BroncoNumber on your check and include a copy of your contract details to ensure your payment is applied correctly

Financial Aid Recipients
If you will receive financial aid, it is recommended that you sign up for Direct Deposit. This will expedite payments and refunds to you. For instructions to enroll in direct deposit for financial aid: Instructions For Direct Deposit

 

CANCELLATION POLICY

  • Once you have completed a Student Housing License Agreement and you have received an assignment, you must notify the Housing Office of your intent to cancel. Once you have made a payment, notification must be in writing and must be received in the Housing Office at least 30 days prior to the beginning of the quarter to avoid any penalty charges. It is advisable to call the office to verify that the written notification has been received.
  • If your admission status is rescinded or you decide not to attend Cal Poly Pomona, you must still cancel in writing to the Housing Office. Changes to your admission status, disqualifications, or decisions not to attend are NOT an automatic cancellation of your housing contract.
  • Following this cancellation process will assure that you receive any refunds due to you. If you have paid by credit card, please do not obtain a chargeback (asking the credit card company to stop or reverse a payment). This may result in additional charges to you and having a hold placed on your student account. Note: a $5.00 processing fee will be charged for all refunds.
